Your data, your rights

Privacy Policy

Rett Syndrome Europe collects only the personal data we need to support families, our member associations and the wider Rett community. This page explains what we collect, why, how we keep it safe and what rights you have over it.

1 · Overview

How we handle your personal data.

This privacy notice applies to www.rettsyndrome.eu and to the official Rett Syndrome Europe page on Facebook. When we collect or process your data, we strictly comply with the applicable data-protection regulations.

You can contact our Data Protection Officer at dpo@rettsyndrome.eu.

The legal basis for handling your personal data is set out in the EU General Data Protection Regulation (GDPR), the national data-protection acts that implement it, and the applicable telecommunications legislation. These provisions exist to protect your fundamental right to the protection of personal data.

2 · How we collect and use your data

What we collect, and why.

We collect personal data only when you actively share it with us, or when you accept the use of cookies. Whenever it is collected, it is used for the purpose you tasked us with — such as answering your enquiry — and nothing else.

Collection and processing of personal data

You are not obliged to provide any personal information when simply browsing our website. However, some data is sent to us automatically each time the site is accessed or a file is retrieved. These access data are stored in log files and include:

  • the page from which you accessed our website;
  • the IP address assigned to you by your provider;
  • the access time and date;
  • the volume of data transferred;
  • the name of the retrieved file or page;
  • notification of successful or failed access (with reason for any error);
  • your computer’s operating system and browser software.

This information is necessary for technical reasons. It allows you to view our website and helps us ensure its stability and security.

Legal basis, storage period, and recipients

The legal basis for processing your personal data is, in particular:

  • your consent (Art. 6(1)(a) GDPR) — for example, sending out newsletters or storing optional cookies;
  • performance of a contract (Art. 6(1)(b) GDPR);
  • compliance with legal obligations (Art. 6(1)(c) GDPR);
  • protection of our legitimate interest (Art. 6(1)(f) GDPR), such as ensuring the stability and security of the website or the defence of legal claims.

We process your personal data, to the extent necessary, for the duration of the individual service (an enquiry, a report, a newsletter subscription, etc.) and beyond that only in line with statutory data-storage and documentation obligations or for as long as we have a legitimate interest in being able to defend against potential liability claims.

Your data are transmitted only to the Board members and volunteers of Rett Syndrome Europe who need them to fulfil our obligations and to protect our legitimate interests. We also pass your data on to processors commissioned by us — for example, the company that manages our website — when this is necessary for them to perform their tasks. All processors are contractually obligated to treat your data confidentially, to process them only within the scope of the agreed services, and to comply with the applicable data-protection regulations under processing contracts in accordance with Art. 28 GDPR. You can request further information on the processors commissioned by us at info@rettsyndrome.eu.

3 · Cookies and analytics

Cookies and how we measure use of the site.

We use cookies to keep the site usable, secure and easier to navigate, and Google Analytics with anonymised IP addresses to understand how the site is used. You can turn cookies off in your browser at any time.

Cookies

Our website uses small text files called cookies to identify your browser and analyse your use of the site. The data generated this way are transferred to and stored on the provider’s server. Cookies generally serve to enhance the user-friendliness, efficiency and security of our website, to gather statistics on traffic and to support general navigation. They do not cause any damage.

Some cookies remain on your device until you delete them, allowing us to recognise your browser the next time you visit. By using our website, you consent to our use of cookies. You may refuse the use of cookies by selecting the appropriate settings in your browser — please refer to your browser’s instructions for details. If you block certain technical or functional cookies, the functionality of the website may be restricted.

Google Analytics

This website uses Google Analytics, a web-analysis service provided by Google Inc., 1600 Amphitheatre Parkway, Mountain View, CA 94043, USA (“Google”). Google Analytics uses cookies stored on your computer to help analyse how the site is used. The information generated by the cookie about your use of this website (including your IP address) is transmitted to and stored by Google on servers in the United States, and used on our behalf to evaluate your use of the site, compile reports on website activity, and provide other services relating to website activity and Internet usage.

We only use Google Analytics with active IP anonymisation. This means that Google shortens the IP address of users within Member States of the European Union or in other states party to the Agreement on the European Economic Area before storing it. Only in exceptional cases is the full IP address transmitted to a Google server in the US and shortened there. Google does not associate your IP address with any other data held by Google.

You may refuse the use of cookies by selecting the appropriate settings in your browser; please note, however, that this may prevent some site features from working. You can also prevent Google from collecting and processing the data generated by the cookie (including your IP address) by downloading and installing the opt-out browser add-on available at tools.google.com/dlpage/gaoptout. For more information on Google’s terms of service and privacy policy, see google.com/analytics/terms and policies.google.com.

4 · Your rights and consent

Your consent — and your rights at any time.

Where the law requires consent, we ask for it explicitly. You can withdraw it at any time, and you have the full set of rights granted to you by the GDPR.

Consent and right of revocation

Where processing of your data is based on your consent, we will only process it after you have given that consent explicitly. We do not knowingly process the data of minors. By giving your consent, you confirm that you are 14 years or older or that you have the consent of your legal guardian.

You may revoke your consent at any time by writing to info@rettsyndrome.eu. Revoking your consent does not affect the lawfulness of processing carried out before the revocation.

Your rights

At all times, you have the right to:

  • be informed about the processing of your data;
  • have inaccurate data rectified;
  • have your data erased;
  • restrict processing;
  • data portability;
  • revoke consent;
  • object to processing.

If you believe that the processing of your data violates data-protection law, or that your data-protection rights have been violated in any way, you may submit a complaint to the supervisory authority. The legal basis for direct mailings you may receive from us (for example, a postal invitation to an event) is our legitimate interest. Pursuant to Art. 21 GDPR, you have the right to object to that processing at any time by emailing info@rettsyndrome.eu.

5 · Events, security and contact

Events, security and how to reach us.

If you join one of our events, your registration data is processed only by RSE. We work continuously to keep all data we hold safe — and you can reach us with any question at any time.

Seminars, conferences, meetings and assemblies

If you take part in an event organised or co-managed by us, the data you provide on registration (typically name, email address and organisation) are stored for up to 2 years on the basis of contract performance or our legitimate interest in organising the event and providing follow-up support. Your data are processed only within Rett Syndrome Europe. If your data were not collected directly by us, we refer you to the organiser of the event in question as the source.

Data security

The security of your data is our highest priority. We take all the necessary technical and organisational precautions to ensure that data processing is secure and that your personal data are protected against accidental or intentional manipulation, loss or destruction, or against access by unauthorised third parties. We continually improve our security measures in line with technological developments.

Information and contact

You retain control of all personal data you share with us. On request, we are happy to confirm in writing whether any of your personal data are stored with us and, if so, which. You may also request the deletion of your data, provided we do not need them for the performance of our contract with you, are not obliged to keep them for legal reasons, and do not need them to defend against potential liability claims.

For any question or suggestion regarding this privacy policy, please write to info@rettsyndrome.eu.
